In February this year, Microsoft announced a preview of a new generative AI-powered experience in Viva Sales that helps sellers communicate with their prospects and customers more effectively.
Viva Sales is now able to generate suggested email content for a variety of scenarios, such as replying to an inquiry or creating a proposal. The content is tailored to the recipient, including pricing, promotions, and deadlines. This saves sellers time by eliminating the need to compose emails from scratch and search for sales data from colleagues and databases.
According to new research commissioned by Microsoft, managing email consumes over 66 percent of a seller’s day. This new AI-powered capability helps sellers recapture this valuable time, allowing them to focus on what matters most: building relationships and closing deals.
Through monthly product updates, Microsoft are rapidly adding new innovations to Viva Sales. One of the key features of Viva Sales is its ability to remind sellers when it’s time to follow up with a prospect or customer. This is done by tracking email interactions and other data points, such as website visits and social media activity. When it’s time to follow up, Viva Sales can automatically generate a preformatted email response with personalised text and next best actions. This can save sellers a significant amount of time and help them stay on top of their leads.
Another key feature of Viva Sales is its ability to suggest personalised responses to emails. When responding to an email, Viva Sales provides sellers with a list of suggested responses based on the category of the email. For example, if the email is a request for information, Viva Sales might suggest a response that provides more information about the product or service being offered. Sellers can simply select the option that best suits their needs and a reply is generated for them to review, edit, and send.
The replies generated by Viva Sales are enriched with data from Microsoft Graph, which provides access to people-centric data and insights in the Microsoft Cloud. This data includes information from Microsoft 365, Windows, and Microsoft Enterprise Mobility + Security, as well as from the customer relationship management (CRM) system (Microsoft Dynamics 365 or Salesforce®). This ensures that the replies are accurate and relevant to the recipient.
Microsoft’s new GPT capabilities strengthen the existing Conversation Intelligence capabilities. Conversation Intelligence is a powerful tool that leverages state-of-the-art natural language technology to automatically generate a call summary, detect questions, calculate conversational key performance indicators (KPIs), extract action items, and more. With the addition of auto-suggested email content, sellers can free up even more time to focus on priorities.
